These Terms & Conditions provide the general framework for the London Photographic Workshop website and its Photographic Immersions.

"Photographic Immersion" is the term by which London Photographic Workshop collectively designates all the experiences it produces: Workshops, Travels, Expeditions and Meet the Model. Each line has its own nature, duration and price; the rules in this document apply to all of them, save as otherwise provided in the individual agreement signed by the participant.

LPW provides a personal service of creative direction, educational preparation and professional photographic production. It is not the sale of a good or of a transferable ticket.

Every place begins with an application made through the page of the Immersion. The application is not a booking: LPW reads each one and replies personally.

If a place is confirmed, LPW and the participant enter into an individual agreement for that Immersion before any payment. The agreement sets out the particular conditions applicable to the person and the specific Photographic Immersion, and states who provides and invoices each part of it. In the event of conflict or inconsistency between the signed individual agreement and these Terms & Conditions, the individual agreement prevails, to the extent permitted by law.

Where accommodation or travel services are provided by a licensed travel partner, that part is also governed by the partner’s own terms, as indicated in the individual agreement.

Each Immersion has a single price, shown on its page as the Participation and expressed in pounds sterling. It includes the photographic experience and the accommodation proposed for that Immersion. It does not include the journey to the meeting point, insurance, or any service requested separately, which is always quoted before the participant commits.

The deposit is 30% of the Participation. The balance is due 60 days before the start date; where a place is confirmed less than 60 days before the start date, the full price is due on confirmation. Meet the Model sessions have no deposit and are paid in full.

A participant may arrange their own accommodation; in that case the price stated in the individual agreement reflects it.

All periods below are counted from the start date of the Immersion.

• 90 days or more before the start date: full refund of all sums paid, including the deposit.
• From 60 to 89 days before: the deposit is retained; any sum paid in excess of it is refunded.
• From 30 to 59 days before: 50% of the Participation is retained; the balance is refunded.
• Fewer than 30 days before: no refund.

Participation is personal, individual and not freely assignable, resellable or transferable. The Photographic Immersion is prepared in relation to the enrolled person.

LPW may consider a replacement request and, if it considers this possible, approve it in writing in advance. An approval does not automatically transfer personal guides, portfolios, personal data, consents or services purchased from the travel partner.

Except for events outside LPW’s reasonable control or conditions making the activity impossible or unsafe, LPW undertakes to provide the duration of the Immersion, the educational pathway and the scheduled photographic sessions.

If a single location or session becomes unavailable, LPW may activate an alternative of comparable cultural, social, architectural and photographic value at no additional cost to the participant, even where LPW incurs additional cost.

If LPW cancels the entire Immersion, the participant may choose between a full refund of everything paid for the Immersion, including the deposit, a credit for another Immersion, or attendance on a new date.

LPW is not liable for flights, insurance or other arrangements not included in the Participation, subject to applicable mandatory law. This is why LPW strongly recommends appropriate travel, medical and cancellation insurance, although insurance is not a condition of participation.

LPW immersions are for participants aged 18 or over on the start date. A minimal basic photographic competence is required; the portfolio is not a selection test and is requested after enrolment in order to personalise the pathway.

Each immersion page describes local conditions and accessibility. LPW does not request, collect or store medical data and does not request a general declaration of physical fitness. Operational requests can only be considered within real feasibility, without LPW assuming a medical role or promising services it cannot provide.

Ownership of a personal camera is not compulsory. LPW may make equipment from its own inventory available when available. On request, it may also organise bespoke hire of specific photographic or cinematographic equipment through a specialist partner; such hire is separate and invoiced separately.

LPW equipment is insured. During normal operational use, accidental damage does not create financial liability for the participant. Improper or reckless use, outside the normal practice of a photographic or cinematographic set, remains the sole responsibility of the person who commits it.

The wellbeing, safety and dignity of the group are the responsibility of every participant. Discriminatory, racist, denigrating, aggressive, intimidating, harassing or otherwise disrespectful behaviour towards host communities, participants, crew, collaborators, suppliers or service providers is not permitted.

Instructions from guides, the master and assistants must be respected. Where safety is uncertain, the participant must explain the proposed activity and await explicit approval before proceeding. Conduct creating a concrete risk to people or equipment may lead to immediate removal.

The relationship with models is exclusively professional. Poses, expressions and placements are professional requests, never orders. The model always has the final say: a refusal requires no reason and must be respected immediately, without pressure, discussion or insistence. Models must not be disturbed during breaks.

The immersion director may require a participant to leave where concrete reasons of safety, respect, dignity or the proper conduct of the group so require. Following disciplinary removal, no refund is due.

Respect for British law, the laws of the host country, location permissions and guide instructions is an essential condition of participation. A breach of local or British law may lead to immediate removal from the immersion.

Where provided for the immersion, LPW facilitates a group meeting on the preceding day and provides information support to reach the meeting point. If a participant is late despite these measures, the immersion begins without them; any cost of subsequently reaching the group remains at their expense and no refund is due.

Where indicated for a specific immersion, LPW may provide an extra day and night after completion to facilitate departure on the following day. Refund claims arising from early departure or transport times selected by the participant are not accepted to the extent permitted by law.

After full payment of the Participation, the participant receives a personal event guide built around their needs and requests. It includes educational and cultural preparation, contacts, operational, historical, social, legal and ethnographic information relevant to the experience.

The guide is personal, non-transferable and may not be shared. In the event of cancellation it must be returned; LPW will destroy the returned copy. The participant may not copy, scan, reproduce, forward or distribute it. Where communications are difficult, LPW may provide coordination tools such as satellite telephones or radio equipment when relevant to the context.

LPW and the master act as the creative direction of the production. Images made by the participant may be used for portfolio, personal website, social channels, personal exhibitions and non-commercial self-promotion, with a credit to London Photographic Workshop creative direction in accordance with the applicable credit line.

LPW, the master and creative collaborators may request or use images for personal and non-commercial self-promotional purposes, subject to applicable licences and releases.

Commercial uses require a separate check of the relevant rights: creative-direction licences, permissions from models or other recognisable subjects, possible location permissions and other applicable agreements. Model releases permit personal and non-commercial self-promotional use; commercial use of images featuring a model must be discussed and authorised directly with that model.

Travel, medical and cancellation insurance is strongly recommended but not compulsory. It is separate from LPW's insurance covering its own equipment.

The agreement is available in English and other languages in localized versions of the website. In the event of interpretative divergence, the English version prevails. The agreement is governed by English law, subject to any mandatory consumer law rules applicable to the participant.
