Before the Immersion Begins

"Photographic Immersion" is the term by which London Photographic Workshop collectively designates all the experiences it produces: Workshops, Travels, Expeditions and Meet the Model. Each line has its own nature, duration and price; the rules in this document apply to all of them, save as otherwise provided in the individual agreement signed by the participant.

A London Photographic Workshop Photographic Immersion is a personal, bespoke professional experience. This Booking Policy explains the general route into an Immersion. The specific service is governed by the individual agreement prepared for the participant and the chosen Immersion; that signed agreement is always the most current expression of the terms applying to that participant.

An application does not in itself create a confirmed booking. Before any payment, LPW provides the individual agreement and the information needed to understand the proposed Immersion.

London Photographic Workshop creates Photographic Immersions: bespoke photographic and educational experiences, with their creative direction, preparation and the professional work undertaken for each one. Each Immersion is offered at a single price, the Participation, which includes the photographic experience and the accommodation proposed for it.

Flights, insurance, visas and any arrangements not included in the Participation are not sold by LPW. They are purchased directly from the relevant provider, under that provider’s own terms and privacy notice.

Each Immersion is presented at one price. Behind it, accommodation and travel services are provided by a licensed travel partner chosen for that destination, and your individual agreement states clearly who provides and invoices each part.

You may also arrange your own accommodation: tell us when you apply, and the price in your individual agreement will reflect it.

Before payment, the participant signs an individual agreement for the relevant Immersion. The agreement reflects a service made for that person, rather than a transferable consumer good.

The Participation may be paid by deposit or in full, as chosen in the application and confirmed in the individual agreement. The deposit is 30% of the Participation, and the balance is due 60 days before the start of the Immersion; where a place is confirmed less than 60 days before the start date, the full price is due on confirmation. Meet the Model sessions have no deposit and are paid in full.

Payment can be made by bank transfer, by debit or credit card, or through PayPal. Card payments are processed by Stripe, through a secure payment link sent by the studio; bank details for transfers are given in the individual agreement. LPW never collects, sees or retains card numbers, bank credentials or other payment-instrument data.

A cancellation request must be made in writing. The following general rules apply unless the signed individual agreement states a more current arrangement. All periods are counted from the start date of the Immersion:

• 90 days or more before the start date: full refund of all sums paid, including the deposit.
• From 60 to 89 days before: the deposit is retained; any sum paid in excess of it is refunded.
• From 30 to 59 days before: 50% of the Participation is retained; the balance is refunded.
• Fewer than 30 days before: no refund.

Participation is personal. It cannot be sold, resold or transferred as a commodity. LPW may, at its sole discretion, consider and approve a proposed replacement participant in writing; this is an exception, not an entitlement.

Travel and accommodation services remain subject to the separate rules of the provider that sold them. Any cancellation, amendment or refund for those services must be addressed directly to that provider.

Where a single location or session becomes unavailable, LPW may activate an alternative of comparable cultural, social, architectural and photographic value without additional cost to the participant, even where LPW incurs additional cost.

If LPW cancels the entire Immersion, the participant chooses between a full refund of everything paid for the Immersion, including the deposit; a credit for another Immersion; or attendance on a new date.

LPW is not liable for flights, insurance or other arrangements not included in the Participation, subject to applicable mandatory law. This is why LPW strongly recommends appropriate travel, medical and cancellation insurance, although insurance is not a condition of participation.

Where indicated for an Immersion, LPW facilitates contact and a group meeting on the day before the programme begins, and provides practical information for reaching the meeting point. If a participant is late despite these measures, the Immersion begins without them; any cost of subsequently reaching the group remains at their expense and no refund is due.

After full payment of the Participation, the participant receives a personal event guide and begins the bespoke preparation process. This may include discussion of photographic practice, portfolio material and the participant's expectations for the Immersion.

Passport information, visas, dietary requirements, medical information, emergency contacts, accommodation preferences and travel insurance belong, where required, to the relationship between the traveller and the relevant travel partner, and are not collected by LPW.

Questions about the Immersion, the individual agreement or participation may be sent through the general LPW contact channel. Questions about the accommodation or travel services provided by the travel partner may also be addressed to that partner directly.

This Booking Policy is a general guide. In the event of any inconsistency, the signed individual agreement prepared for the participant and the specific Immersion prevails, subject to applicable mandatory law.
